When members book desks and meeting rooms by email, chat message or a word at the front desk, someone on your team has to check availability, reply, update a spreadsheet and fix the occasional double booking. Each request only takes a few minutes, but across hundreds of bookings a month that adds up to real hours and real payroll. Operators rarely measure it, so booking software tends to be judged on its subscription price alone.

This calculator multiplies your weekly booking volume by the minutes each manual booking takes, applies the share of bookings that would become self-serve, and adds the time you spend untangling conflicts. It converts the saved minutes into monthly hours at 4.33 weeks per month, prices them at your staff hourly cost, then subtracts the software cost to show net savings and return. It does not count softer benefits such as fewer frustrated members or better usage data.

How to use this tool

  1. Count the desk and room bookings your team touches in a typical week and time a few of them to get minutes per booking.
  2. Estimate the share that members would handle themselves, add the weekly minutes spent on conflicts, and enter your staff hourly cost.
  3. Enter the monthly software cost and read the hours saved, dollar savings and return.

What the math assumes

  • A month is counted as 4.33 weeks.
  • The self-serve share is applied equally to routine booking minutes and to conflict handling time.
  • Saved hours are valued at the hourly cost you enter, even if that time is redirected to other work rather than removed from payroll.
  • Setup time, training and one-time onboarding fees are not included; add one twelfth of any one-time fee to the monthly software cost if you want them counted.
  • Lost room revenue from no-shows is not part of this estimate, only the staff time spent dealing with them.

Frequently asked questions

How do I measure minutes per manual booking honestly?

Time ten real requests from first message to confirmed booking, including the reply and any spreadsheet or calendar update, and use the average. Most operators find it is longer than they guessed once follow-up messages are included.

Does this include the cost of no-shows?

Only the staff time spent dealing with them, through the conflict minutes input. Lost room revenue from empty booked rooms is not part of this estimate.

What if my team keeps the same hours after switching?

Then the savings are capacity rather than payroll: the same people can handle more members, tours or events. The dollar figure still describes what that freed time is worth at your hourly cost.
